RefApp Privacy Policy
The short version
- RefApp has no accounts. It doesn’t ask for your name, email, phone number or location.
- Scores, timers, schedules and settings stay on your device.
- Only when you create or join a synced game room, load a camp roster, or redeem a promo code does the app send data to our database, and only what that feature needs.
- No ads, no analytics, no tracking, and we never sell data.
- To have synced data deleted, email support.refapp@gmail.com with the room or camp code.
Who we are and what this covers
RefApp is a scoreboard, timer and game toolkit for camp sports referees, made by Hineni Systems (“we”, “us”). This policy covers RefApp on the web and as an Android or iPhone app. Our other services have their own policies, listed on the legal home page.
What stays on your device
Game scores, timers, the activity schedule, custom teams, app settings and whether Pro is unlocked are saved in your browser’s or the app’s own storage, so a refresh or a closed app doesn’t lose a game. We can’t see this data. It stays until you clear the app’s storage or uninstall it.
What we receive, and only when you use these features
Multi-Ref Sync (game rooms)
When you create or join a room, the app sends the room code, the live game state (scores, timer, teams and their colors, period), team names and roster entries you type in, your role in the room (host or ref), a random device ID for this session, and any Quick Consult question and answer sent in the room. Everyone with the room code sees this in real time. It isn’t linked to your name or to an account.
Camp and league rosters
A sports director can give staff a camp code. Entering it downloads that camp’s team names and colors to your device. We store the rosters camps provide to us; the app doesn’t upload anything when you load one.
Promo codes
Redeeming a code checks it against our list of valid codes. Nothing about you is stored when you do.
Sign-in in the background
To keep rooms private to people using the app, these features sign your device in anonymously with Firebase Authentication. That creates a random ID with no name, email or phone attached.
Who processes the data
- Google Firebase (Realtime Database and Authentication) stores synced room data, camp rosters and promo codes, and creates the anonymous sign-in. As with any internet service, Google receives your device’s IP address and basic technical details when the app connects. See Firebase’s privacy information.
- GitHub Pages and Cloudflare host the web version and, like all web hosts, keep short-lived logs of requests (IP address, time, page) for security and reliability.
We don’t share data with anyone else, and we don’t use it for advertising or marketing.
How long we keep it
- When the host leaves a room, the app deletes that room’s data. Rooms that are left open are cleared out periodically after the games end.
- A ref’s “in the room” status is removed automatically when their device disconnects.
- Camp rosters stay until the camp asks us to remove them.
Deleting your data
Data on your device: clear RefApp’s storage in your browser or phone settings, or uninstall the app. Synced data: the host can end the room in the app, or email support.refapp@gmail.com with the room or camp code and we’ll delete it within 30 days.
Children
RefApp is a tool for camp staff and referees, not for children, and we don’t knowingly collect personal information from children. When staff enter rosters, they should use only what’s needed to run games, such as team names or first names, and follow their camp’s own privacy rules.
Permissions
The Android and iPhone apps only use internet access (for sync) and vibration (for timer alerts). RefApp doesn’t use your location, camera, microphone, contacts or photos.
Security
Data travels over encrypted connections (HTTPS). Database rules only let signed-in app sessions read rooms, and nobody can change camp rosters or promo codes from the app.
Changes to this policy
If we change this policy, we’ll update the date at the top, and mention meaningful changes in the app’s release notes.
